Absences and cancellations

Statements

Statements and invoices will be sent out after the program and payment is required within 14 days from issue date.

Overdue accounts

Any families with an outstanding account balance with Latrobe City Council will need to pay these in full, before booking a place on our Vacation Care program. We can’t confirm your place until the outstanding account is paid.

For information regarding your account please contact Latrobe City Council on 1300 367 700 and ask for Accounts Receivable.

Meal times

Please provide a nutritious lunch and adequate snacks for your children. We recommend sandwiches, fruit, cheese sticks, yoghurt and a labelled water bottle. Please inform staff if your child’s food needs refrigeration.

For excursions please ensure you provide your child with a packed lunch and water bottle. Children will not be permitted to purchase food from vending machines or kiosks.

We request that you do not pack nuts or nut products in your child’s snacks and lunches.

Medication

Please ensure that you complete a Medication Form and sign in all medications at the start of the day. This is especially important for the staff to be able to support your child’s individual needs during the program and on excursions e.g. Ventolin.

Fire drill

During the next Vacation Care Program, program staff and the children will be practicing an Emergency Evacuation Drill. This will include the procedures and processes that the staff and children must adhere to. This includes the initial warning and the steps thereafter to successfully evacuate the stadium. The children will then reflect on what “we did well”, “what we need to do better” and program staff will evaluate this process for further proficiency in this task.
